5. Bookings, payments and guest verification
5.1 Direct bookings through our website
Our direct booking process is facilitated by Hospitable, our property management system and booking platform.
When you make a booking through our website, Hospitable collects the booking details and personal information needed to administer your reservation and payment. This may include your name, contact details, reservation dates, number of guests, special requests and relevant transaction information.
Premier Property accesses the relevant booking information through Hospitable so that we can manage your reservation, confirm booking details and payment status, communicate with you, coordinate check-in and check-out, provide guest services and administer booking changes or cancellations.
Hospitable acts as the Merchant of Record for guest payments and, together with its payment providers, handles payment processing, payment verification, fraud prevention, refunds and related payment administration. Premier Property does not directly collect or process guests' payment card details and cannot access full card details through the Hospitable booking system.
Hospitable processes personal information under its own privacy information and applicable terms. For further details, please read Hospitable's Privacy Policy: https://hospitable.com/legal/privacy-policy.
5.2 Bookings through other platforms
If you book through Airbnb, Booking.com or another third-party booking platform, that platform will also collect and process your information under its own privacy policy and booking arrangements. We may receive relevant reservation information through the platform or our property management system so that we can manage your stay.
5.3 Identity checks
Where identity verification is required, we will explain what information is needed and, where applicable, identify the provider carrying out the check. The verification provider may collect information directly from you and will explain its processing in its own privacy information.
6. Who we share information with
We share personal information only where it is relevant and necessary for the purposes described in this policy. Depending on the circumstances, recipients may include:
- Hospitable, booking platforms and property management systems used to administer reservations.
- Payment providers and identity verification providers involved in payment or verification processes.
- Cleaning, maintenance and guest support providers who help us deliver and maintain our accommodation services.
- Website hosting, IT and communications providers who support our website and business operations.
- Professional advisers, including accountants, insurers and legal advisers.
- Relevant business partners, agents or property owners where sharing is necessary and appropriate.
- Public authorities, regulators or law enforcement agencies where disclosure is required by law or is otherwise lawful.
We do not sell your personal information. Where a third party processes personal data on our behalf, we take appropriate steps to ensure suitable contractual and security protections are in place. Some third parties, including booking platforms and Hospitable, may process information under their own privacy notices and arrangements.
7. Cookies and website technologies

8. How long we keep your information
We keep personal information only for as long as reasonably necessary for the purposes for which it was collected, including to meet applicable legal, accounting and reporting requirements. Retention periods depend on the type of information and our relationship with you. For example:
- Booking and financial records may be retained for applicable statutory accounting and tax periods.
- Guest communications may be retained for operational, service and dispute-management purposes.
- Enquiry records may be retained for a reasonable period after the enquiry has closed.

- Marketing information is retained until you withdraw consent or object, as applicable, subject to any necessary suppression records.
When information is no longer needed, we securely delete or anonymise it unless we have a lawful reason to retain it.
9. How we protect your information
We take appropriate technical and organisational measures to help protect personal information against unauthorised access, loss, misuse, alteration or disclosure. Access is restricted to people and service providers who need the information for legitimate purposes. However, no online transmission or storage system can be guaranteed to be completely secure.
